The comprehensive solution for mail logistics includes all processes – from incoming mail to the distribution of internal consignments up to outgoing mail. With the so-called outside-model, the processing is completely relocated to a Rhenus-distribution center. Areas at the customer will thus be released and can frequently be used for more productive purposes, in other cases the reduced place requirement will lead directly to cost reduction.
The outside-solution is qualified for enterprises of all size, as the example of an internationally operating big bank demonstrates: letter, parcels and packages which are meant for the head offices of the enterprise are brought together in the external distribution center from which they will be distributed. With the aid of a database, employees of Rhenus can find out in which building the addressee of a consignment is to be found. The mail is then conveyed to the individual buildings where it is either submitted to bank employees being responsible for the local distribution or forwarded directly to the respective bank department.
Parcels and consignments sent by courier service are also centrally and IT-supported processed, meaning that not every single service provider of KEP supplies the buildings of the bank. The individual parcels and consignments are delivered centrally to us, and the already available bar code is identified by our software and transferred to the Rhenus database. The processing and delivery of the items to the employee’s workplace is for each consignment completely documented by our tracking & tracing system.
Considerable cost benefits
Furthermore, nationwide operating enterprises have to deal with consignments which are delivered form the head office to the branches. Here, the external document center of Rhenus can bundle the consignments, resulting in considerable cost savings compared to the individual dispatch. The reduction in postal and freight charges is a strong argument for the outside-model also in regard to outgoing mail: Rhenus combines consignments of various customers in a pool and determines the optimal mode of dispatch and the most favorable carrier.
Locations of Rhenus are able to respond with flexibility to a modified mail volume by the internal redistribution of personnel, technology and other resources. For this reason the outside-model is particularly useful to mitigate peaking workload rates. So, for example, the bank mentioned above must invite many of its customers to general meetings of listed enterprises – afterwards hundreds of thousands of acknowledgements have to be processed. Rhenus can automate the processing to a large extent and may deploy personnel and software to avoid the piling up of incoming mail.
